Note Whisperer · Last updated 13 October 2026
Note Whisperer ("the app") records voice notes and, with your explicit permission, uses a third-party AI service to transcribe and summarise them. This policy explains exactly what data the app handles, how it is collected, what it is used for, who it is shared with, and the choices you have.
Note Whisperer is developed and published by an independent developer ("we", "us"). We operate no servers, no accounts, and no analytics. We never receive, store, or have access to your recordings, transcripts, or API key. Contact: feat_musty2y@icloud.com.
The app does not collect any data for our own purposes. The following data is created on, and stays on, your device — except where the table states it is sent to OpenAI for AI processing, which only ever happens after you have granted permission in the app.
| Data | How it is collected | What it is used for | Where it goes |
|---|---|---|---|
| Audio recordings | Captured by the device microphone only while you are actively recording a voice note on iPhone or Apple Watch, or imported by you from a file you choose. | Playback in the app, and — with your permission — transcription. | Stored locally on your device. Sent to OpenAI for transcription only if you enable AI processing. |
| Transcripts, summaries, key points, and Q&A | Generated from your audio by OpenAI and returned to your device. | Displayed in the app so you can read, search, copy, and share your notes. | Stored locally on your device. The transcript is sent back to OpenAI to produce the summary, key points, and Q&A. |
| Your analysis instructions (system prompt) | Entered or edited by you in Settings; a default is provided. | Tells the AI model how to analyse your transcript. | Stored locally on your device. Sent to OpenAI alongside each transcript. |
| Your custom vocabulary (optional) | Names, companies and terms you enter in Settings → Custom Vocabulary. Empty unless you add words. | Helps the AI model transcribe and spell those words correctly. | Stored locally on your device. Sent to OpenAI alongside each recording and transcript. |
| Your OpenAI API key | Entered by you in Settings. The app has no key of its own and no login. | Authenticating your own requests to the OpenAI API and billing them to your own OpenAI account. | Stored in the device's secure Keychain. Sent only to OpenAI, as the authentication header of your own requests. |
| App preferences (chosen models, language, appearance, permission status) | Set by you in the app. | Remembering your settings between launches. | Stored locally on your device only. Never transmitted. |
The app does not collect or transmit: your name, email address, phone number, contacts, location, photos, health data, advertising identifiers, device identifiers, usage analytics, or crash telemetry. There are no third-party analytics, advertising, or tracking SDKs in the app.
On first launch, before any recording can be processed, the app shows a disclosure screen that names OpenAI as the recipient, lists exactly what will be sent, explains how it will be used, and asks you to agree or decline. Nothing leaves your device unless you tap to agree.
When AI processing is enabled, the app sends the data marked above directly from your device to the OpenAI API (api.openai.com), operated by OpenAI, L.L.C., over an encrypted HTTPS connection, authenticated with your own OpenAI API key. These requests do not pass through any server operated by us, and we receive no copy of them.
OpenAI receives the audio file, the resulting transcript, your analysis instructions, and any custom vocabulary you enter, and uses them to return the transcript, summary, key points, and Q&A for that recording.
Data submitted through the OpenAI API is governed by OpenAI's API data usage policies, privacy policy, and Data Processing Addendum. Based on those published commitments, OpenAI provides protections equivalent to those described in this policy for the data the app shares with them, specifically:
Because your requests are made with your own API key, your use of the OpenAI API is also directly governed by your agreement with OpenAI. Please review:
We have no control over OpenAI's own systems. If you do not wish to share data with OpenAI, decline the permission (or turn it off in Settings) and use the app as a local voice recorder.
The app requests microphone access solely to record the voice notes you choose to create; audio is captured only while a recording is in progress. Recording may continue while the app is in the background so that a recording you started is not cut off. No other sensitive device permissions are required. You can revoke microphone access at any time in the iOS Settings app.
Recordings made on Apple Watch are transferred to your paired iPhone over Apple's encrypted device-to-device connectivity and are processed there under the same rules described above. Live Activities show only the elapsed recording time on your own device.
Recordings, transcripts, and generated notes remain on your device until you delete them. Deleting a recording in the app removes its audio file and all associated text from your device. Deleting the app removes all of its local data, including the API key from the Keychain. Data held by OpenAI is subject to their retention policy described in section 4; requests about data in their systems should be directed to OpenAI.
Where the GDPR or similar laws apply, the legal basis for sharing data with OpenAI is your consent, which you give in the app and can withdraw at any time in Settings → Privacy & AI Processing. Because we hold no data about you, requests to access, correct, export, or delete data in our possession cannot apply to us — you control all of it directly on your device. For data held by OpenAI, please contact OpenAI.
The app is not directed at children and we do not knowingly collect information from anyone, as we collect nothing.
If this policy changes, the updated version will be posted on this page with a revised date. If a change materially affects what is shared with OpenAI, the app will ask for your permission again.
